Why a single customer view beats a customer record

In a service business the value is not in the customer's contact details. It is in everything hanging beneath them: the sites, the equipment installed there, what was done last time and which agreements are running. As soon as that spreads across folders, inboxes and people's memory, you pay it back in time on the phone and in trips that achieve nothing.

From customer to site to equipment

A customer is rarely one address. A property manager has twenty buildings, a retail chain has branches, a plant has halls. So the record is built as a hierarchy: sites beneath the customer, equipment beneath each site, and its own service history on each item.

That turns a question like "what did we do to that boiler in building B last year" into a click rather than a search. The technician travelling out knows which unit is waiting, what its serial number is and what a colleague found last time.

Equipment service history that builds itself

The history is not maintained separately — it is the by-product of the work. Every completed job, work order, photo and part used files itself under the right piece of equipment the moment the technician closes the job.

So the record still holds when someone leaves, or when a case resurfaces two years later. What happened sits where it belongs, not in one person's calendar.

What it changes in practice

The support call gets shorter, because whoever answers sees what the person on site sees: open invoices, active contracts, reported faults and the next scheduled visit, per customer.

And it cuts return trips. Knowing in advance what type of unit is installed and what failed last time means leaving with the right part instead of a hunch.

Where this makes the biggest difference

The more equipment per customer, the wider the gap.

  • Installers with a large installed base at recurring customers
  • HVAC and refrigeration companies running periodic servicing per unit
  • Technical and facility providers covering several buildings per customer
  • Teams where several technicians visit the same customer and must be able to read each other's work

Frequently asked questions about the customer record

What belongs in a customer record for a service company?

Beyond contact details: the sites, the equipment per site with its serial number, the completed jobs with work orders and photos, the running maintenance contracts, the open invoices and the next scheduled visit.

Can one customer have several sites and equipment items?

Yes. The record follows customer → site → equipment, with no limit on the number. A property manager with twenty buildings stays one customer, with twenty sites beneath.

Does the technician see the same history on their phone?

Yes. The mobile app shows the equipment and its past for each job, so the technician can see on site what was previously found and replaced.

Can we bring our existing customers and equipment across?

Yes. Customers, sites, equipment and running contracts are imported at start-up. Their volume feeds into the implementation price, which is quoted separately.
